Privacy and Cookie Policy
How we look after the information you give us, and the small number of cookies this website uses.
Last updated 13 October 2026
Who we are
This website is run by YD Decorating Services Ltd (company number 15836784, registered in England and Wales), a family-run painting and decorating business based in Epsom, Surrey. In this policy, "we", "us" and "our" mean YD Decorating Services Ltd.
We are the data controller for the personal information described here. If you have any questions about this policy or your information, email us at info@yddecorating.co.uk or call 0742 41 83 510.
What information we collect
We only collect information you choose to give us, plus the basic technical information any website receives.
- Quote requests: your name, phone number, email address, postcode or town, the service you need, when you'd like the work done, how you'd like us to contact you, details about your project and any photos you attach.
- Contact messages: your name, email address, phone number (if you give it), the subject and your message.
- Phone calls, emails and WhatsApp messages: whatever you share with us when you contact us directly.
- If you become a customer: your address, the details of the work, quotes, invoices and payment records.
- Technical information: when you visit the site, our hosting provider receives your IP address, browser type and the pages requested. This is used to deliver the site and protect it from abuse.
- Website usage: if you agree to analytics cookies, Google Analytics records which pages you visit, how you arrived and roughly where you are (town or region), so we can see which pages are useful.
How we use your information
We use your information to:
- reply to your enquiry and arrange a free site visit and quote
- carry out and manage the work you ask us to do
- keep the business, tax and accounting records the law requires
- keep the website secure and protect our forms from spam
We don't sell your information, we don't add you to marketing lists, and we only contact you about your enquiry or your job.
Our legal basis
We use your information on these legal grounds:
- Taking steps at your request before entering into a contract, when you ask us for a quote.
- Performing our contract with you, when we carry out work for you.
- Legal obligation, for keeping financial and tax records.
- Legitimate interests, for answering general enquiries and keeping the website secure. We only rely on this where it doesn't override your rights.
- Consent, for analytics cookies. You can withdraw it at any time in Cookie settings.
Who we share it with
We use a small number of trusted service providers to run the website and our email. They only process your information on our instructions:
- Cloudflare, which hosts this website, protects it from attacks and provides the Turnstile check on our forms that stops spam.
- Postmark, which delivers the messages you send through our forms to our inbox.
- Google, which provides Google Analytics, but only if you agree to analytics cookies.
- Hostinger, which hosts our email account.
- WhatsApp (Meta), if you choose to message us on WhatsApp. Their own privacy policy applies to messages sent through their service.
We may also share information with our accountant, or where the law requires it.
Transfers outside the UK
Some of our providers, including Cloudflare, Postmark and Google, may process information in the United States or elsewhere outside the UK. Where this happens, the transfer is protected by safeguards recognised under UK data protection law, such as the UK-US data bridge or the UK International Data Transfer Agreement.
How long we keep it
- Enquiries that don't lead to work: up to 2 years, so we can pick up the conversation if you get back in touch, and then deleted.
- Customer records, quotes and invoices: 6 years after the end of the tax year the work was completed in, as required for tax purposes.
- Photos you send for a quote: deleted when we no longer need them for your enquiry or your job.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information, where we don't need to keep it by law
- object to, or ask us to restrict, how we use your information
- ask us to transfer information you gave us to another organisation
To use any of these rights, email info@yddecorating.co.uk. We'll reply within one month and there's normally no charge.
Cookies
Cookies are small files a website stores on your device. This site uses as few as possible, and analytics cookies only run if you agree to them.
Necessary: we remember your cookie choice in your browser's local storage (under the name yd_cookie_consent) so we don't ask you again on every page. Cloudflare may also set strictly necessary security cookies, such as __cf_bm, to tell people apart from bots. These can't be switched off because the site needs them to work safely.
Spam protection: when you use one of our forms, Cloudflare Turnstile checks that you're a person rather than a bot. It looks at information about your browser and device to do this, and it is not used for advertising.
Analytics (only with your permission): we use Google Analytics to understand how people use the site, such as which pages are visited and how long for, so we can improve it. It sets cookies named _ga and _ga_H6C50MXE93, which last up to 2 years. Google Analytics doesn't load at all unless you choose Accept all, or switch on Analytics in Cookie settings. If you later switch it off, we stop it and remove its cookies.
Marketing: we don't currently use any marketing cookies. If we add them in future, they will only run if you agree to them in Cookie settings, and we'll update this policy first.
You can change your choice at any time:
Complaints
If you're unhappy with how we've handled your information, please contact us first and we'll do our best to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
